What we collect, why, and how long we keep it — in plain English.

Hampstead Au Pair & Nanny Agency ("we", "the agency") is the data controller for personal information collected through this website and in the course of arranging childcare placements. Last updated: July 2026.

What we collect, and why

  • Enquiries and applications. When you contact us, request a callback or guide, use the calculator's email option, tell us about your family, or apply to join our books, we collect what you give us: your name, contact details, and what you tell us about your childcare needs or experience. We use it to respond to you and to arrange placements — the thing you asked us to do (legitimate interest / steps prior to a contract).
  • Placement records. Arranging a placement involves fuller records for families, au pairs and nannies, including right-to-work verification and enhanced DBS status for au pairs and nannies. For DBS checks we record the date, level and certificate reference only — never certificate copies. Children's details are minimised: ages, not birthdates; first names optional.
  • Website. Our enquiry forms record which page you came from and, where present, the campaign that brought you here. We use privacy-respecting analytics to understand how the site is used.

Who processes it for us

Your data is held on our own systems hosted by SiteGround. We use Brevo to send transactional email and Twilio to send text messages — for example, the acknowledgement you receive after an enquiry. We never sell personal data, and we never share au pair or nanny or family details with anyone except as needed to arrange your placement.

How long we keep it

  • Enquiries that don't become placements: two years, then anonymised.
  • Au pair or nanny records inactive for a year after last contact: deleted or anonymised.
  • Placement records: six years (contractual and legal obligations), then anonymised.

Your rights

You may ask us for a copy of the information we hold about you, ask us to correct it, or ask us to erase it (except where we must keep it for legal reasons). Email or call us — the details are on the contact page — and we will respond within one month. You may also complain to the Information Commissioner's Office (ico.org.uk).

Cookies

This site uses a single session cookie, needed to make forms work securely. It is not used for advertising and expires when you close your browser.
